What Gemini can help with in meetings

Google provides AI meeting features such as note-taking and, in supported configurations, translated captions. Availability depends on your Workspace edition, account, language, administrator settings and rollout. Verify the current feature documentation rather than assuming every Gemini feature is included in every plan.

Which plans include which features

The Gemini experience in Gmail, Docs and Meet varies by subscription. Start with Google's current Workspace feature comparison and ask your administrator to check the relevant service settings. A room hardware license alone does not grant every user an AI feature.

How it works with room hardware

A dedicated Meet room provides shared audio, camera and display access. Meeting-level AI tools depend on the meeting organizer, user permissions and supported room configuration. Test note-taking and caption workflows with your exact setup before making them part of a regular meeting process.

Tell participants when a meeting is being recorded, transcribed or summarized. Review access to notes, sharing settings and retention with the people responsible for security and privacy. AI output can omit or misinterpret decisions; a person should review action items and important conclusions.

Adoption tips for your team

Pilot one use case, agree who checks the output and measure whether it saves work. Keep an alternative for participants who cannot use the feature. Ask for a demonstration with your actual account and room hardware. See [Workspace plans](/workspace) and [Meet rooms](/meet-rooms) for the licensing and hardware discussion.
